Property maintenance is a data heavy field. Drawings, contracts, supplier messages, error reports, compliance records. Every decision a contractor or property manager has to make depends on getting through all of it first, and the deadline for the decision rarely waits for that to happen.
We came on as Vicemain's technical and strategic partner with the brief to build the platform from the ground up, with AI as the core of how it works.
The problem
The amount of data that goes into running and maintaining a building is enormous, and most of the people working with it spend more time finding the right information than acting on it. The information is distributed across multiple folders and systems, none of which connect to a single source.
The brief was to build a platform that handles the data differently, so decisions can be made faster and with better information at hand.
The solution
We led the platform end to end, from strategy and architecture through to design, code, and infrastructure.
The starting point was the architecture. What data the platform needs to read, how decisions should be supported, and how AI should sit at the centre of the way information moves through the system. That decision shaped everything that came after.
From there, we built it. GPT Omni and Claude handle the AI-driven reading and categorisation of the data. Supabase holds the database layer, and Vercel and AWS run the hosting and infrastructure.
The result is a platform that runs property maintenance on a different foundation.
The outcome
Manual processes have been replaced by automated flows, errors are caught and reported faster, and the work runs on a single source of information instead of many.
Because AI sits at the core of the platform rather than as an add-on, the system gets stronger as the AI models behind it get stronger. The platform is built to make use of what comes next, not to be replaced by it.
The point
A traditional system manages what can already be done. A platform with AI in the architecture takes on what could not be done before. For Vicemain, that means the work itself looks different. The data flows in, the decisions surface where they need to, and the people who run buildings can spend their time maintaining them.
